Privacy Policy

Last updated: October 20, 2026

This page explains what information East Coast Embroidery collects, how we use it, and your choices. This is a general policy for a small local business — if you have specific questions about your data, contact us directly at [email protected].

Information We Collect

When you request a quote, contact us, or place an order, we may collect information you provide directly, such as your name, business name, email address, phone number, mailing address, and details about your order (garment style, quantity, logo files, and similar order details).

Like most websites, we may also collect standard technical information automatically — such as browser type, general location, and pages visited — typically through standard analytics tools, to help us understand how the site is used.

If you sign up for text alerts, we also collect your name, mobile number, and the date, time, and method of your consent.

How We Use Information

Information Sharing

We do not sell your personal information. We may share information with third parties directly involved in fulfilling your order — such as shipping carriers or payment processors — solely for that purpose, or when required by law.

Text Messaging (SMS)

If you opt in, we send operational text alerts such as order notices, payment updates, and deadline reminders. Message frequency varies. Message and data rates may apply. Reply STOP at any time to opt out or HELP for help. Consent to receive texts is not a condition of purchase.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

We use a messaging service provider, Twilio, to deliver text messages for us, and it handles numbers only as needed to deliver them. You can sign up for text alerts at eastcoastembroidery.com/sms.

Internal Business Tools

We use an internal, read-only data feed called the "ECE Finance Bridge" to support internal financial reporting and business coordination. This feed connects to our QuickBooks Online account and copies data on an hourly basis into a private Google Drive folder belonging to our [email protected] account. The feed only reads data — it does not create, change, or delete anything in QuickBooks, and it does not send emails or communications on our behalf.

The data this feed copies may include: customer ID, name, and company name (not email address, phone number, or mailing address); invoice, payment, sales receipt, and credit memo records; outstanding invoice balances; and financial reports such as profit-and-loss, balance sheet, and accounts-receivable aging statements, which may include customer names alongside accounting details.

This data is used internally for business reporting and coordination, including through an AI assistant we use for this purpose ("GrokBot"). The Google Drive folder holding this data is private: it is not publicly shared and cannot be opened just by having a link to it. It's accessible to our orders@ Google account and to anyone or anything already authorized to access that account, which may include GrokBot once its access to this specific folder is set up and confirmed.

Exported files are not automatically deleted. We keep timestamped snapshots and a pointer to the most recent one. We do not currently have a set schedule for deleting this data, though we may adopt one in the future. See our ECE Finance Bridge EULA for the terms governing this tool.

Our Online Store

Orders placed through shop.eastcoastembroidery.com are subject to that platform's own checkout and payment processing terms in addition to this policy.

Data Security

We take reasonable steps to protect the information you share with us. No method of transmission or storage is completely secure, and we can't guarantee absolute security.

Your Choices

You can ask us at any time what information we have on file for you, request corrections, or ask us to delete it, subject to any recordkeeping we're required to retain (such as order history for accounting purposes). Contact us at [email protected] or 401-434-9224.

Changes to This Policy

We may update this policy from time to time. The "last updated" date at the top of this page reflects the most recent revision.
